Quick guide

Save an Excel sheet as PDF

01

Drag in a workbook (.xlsx, .xls, .ods) or a CSV export. Several can go in together.

02

Untick any tab you do not need, set paper and scaling, then flick through the preview pages.

03

Press Convert to PDF and save a single file, or a ZIP holding a separate PDF for each tab or workbook.

What you get

Built for printouts people actually read

Wide tables, sorted

A budget with twenty columns? Fit columns to width scales the table down to the paper, and Auto turns the page sideways when needed. Column titles return at the top of each new page.

Looks like the workbook you built

Shading, borders, coloured or bold fonts, merged title cells and formats such as currency or percentages are copied from .xlsx and .xlsm files, so the report keeps its design.

Searchable, copyable output

Figures are stored as text, not as an image. Whoever opens the PDF can search for an invoice number, copy a total or click a web address straight from the page.

Private by design

Reading the workbook, laying out pages and building the PDF all happen inside your browser tab, so the data never travels to a server. No account and no stamp on your pages.

XLSX spreadsheet to PDF for everyday paperwork

Spreadsheets are great for working and awkward for sharing: the recipient may not own Excel, columns shift on a phone screen and anyone can overwrite a formula. A PDF solves all three. A few jobs it handles well:

  • Freelancers export an invoice or timesheet tab and attach a file the client cannot accidentally edit.
  • Office teams turn a monthly sales workbook into one PDF, with a bookmark leading to each region tab.
  • HR staff print a shift rota or holiday planner on A3 landscape so a whole month fits on one sheet of paper.
  • Teachers share grade lists or seating plans exported as CSV from the school system.
  • Students attach lab measurement tables to a report, with the headings repeated on every page.
  • Real estate agents send landlords a neat rent schedule instead of a raw workbook.

How the page layout is chosen

Three scaling modes cover most needs. Fit columns to width keeps all columns on the paper and only adds pages downwards. Actual size prints at 100% and carries extra columns over to further pages, which suits huge tables you plan to tape together. Sheet on one page shrinks each tab onto a single page where the text stays readable, handy for short summaries. Paper can be A4, Letter, Legal or A3; Letter is suggested automatically in the US, Canada and a few other regions. Margins come in narrow, normal and wide.

Getting the cleanest result

For full control, define the print area, print titles and manual page breaks in Excel before you start; the converter follows all three. Older .xls, binary .xlsb and OpenDocument files keep their values, widths and merged cells but can lose fonts, shading and borders, so resave as .xlsx when looks matter. The Fit to content option resizes each column to what it holds and wraps very long entries. Your scaling, paper, margin and centering choices are remembered in this browser for the next workbook.

Answers

Questions people ask about this task

Can I turn an XLSX spreadsheet into a PDF without Microsoft Excel?

Yes. The tool reads the workbook itself in any modern browser, so Excel or any other spreadsheet program does not have to be installed.

Why does my sheet come out on so many pages?

Usually the table is wider than the paper at full size. Pick Fit columns to width, or Sheet on one page for a compact summary, and watch the page count change in the preview. Text is never scaled below 30%, so a giant sheet may still need a few pages.

Will the column headings show on every page?

By default, yes. The tool repeats the print titles saved in the file, or the frozen rows, otherwise the first row. You can also pick the first 1 to 5 rows yourself or switch repeating off.

Can I get each tab as its own PDF?

Yes. Open More options and choose One PDF per sheet; you receive a ZIP in which every selected tab is a PDF named after the workbook and the sheet.

What happens to charts and pictures in my workbook?

They are left out, because only cells are converted. Formulas show the value last saved in the file, so recalculate and save in Excel first if the numbers look out of date.

My workbook is password protected. Can it still be converted?

Not directly. Remove the protection in Excel or save an unprotected copy, then drop that copy in instead.
